Web Publishing For Conferences
POLICY WP005
Policy Date: December 2006
Organisers of conferences at the Faculty of Education are offered assistance with creation and update web pages to publicise their conference. Our current technology does not permit us to offer any form of online payment processing. Techniques for doing this are in development in the University.
We offer 2 tiers of support to Conference organizers:
- Free support.
- Charged support
1. Free Support
A single web page for the conference will be prepared and published on the Faculty website. This will include the following information:
- Name of conference
- Date
- Location
- Short abstract of conference business (this will take the form of one or two paragraphs of plain text)
- A link to a flyer in pdf format, to be provided by the conference organisers.
2. Charged support
Where a conference organiser requires a more complex web presence, we offer a free link to an externally hosted website, or a charged service for design, maintenance and hosting.
- Design
- We will accept a brief for content, together with text, images and digital materials.
- We will agree on the number of pages to be mounted. We will design according to our house style.
- We will offer a draft for approval.
- We will publish the approved design.
- For a given brief we will estimate the design time, and agree a charge at the hourly rate of £30.
- If the brief changes, or additional design work is required, then further charges at this rate will accrue.
- We will provide (free) up to one hour of staff time for discussing the brief with you, but we will charge any additional time required to arrive at a brief at the design rate.
- Maintenance
- Where a major conference is planned there may be the need to make a series of updates to the site in the time preceding the actual conference (such as abstracts, programme details, downloadable documents).
- We will accept these updates from the conference organiser, and make the necessary changes to the published pages.
- After design work is complete, we will accept maintenance updates for any conference site up to the start of the conference.
- This will be charged at a flat rate of £30 per month for the period during which maintenance is required.
- Hosting
- We will publish the conference pages on our main webserver. The URL for the pages will be of the nature: http://www.educ.cam.ac.uk/events/conferences/conference_name or http://www.educ.cam.ac.uk/research/projects/project_name/conference_name
- It will not be possible to assign a custom URL (eg http://myconference.educ.cam.ac.uk) to a conference webpage hosted on our server.
- We will remove pages relating to finished conferences 3 months after the end of the conference
- There is no separate charge for hosting.
