Editorial Policy for Faculty Website

Preamble
The Faculty website now has a delegated content update system. Some administrative staff have already received training in how to use this. An editorial policy is required to ensure that information posted to the website is correct, current, and relevant to the particular section of the site in which it is published. The need arises because website administrators will be required to approve pages, and will be doing so on the basis of layout, not content.
Review schedules:
- About the Faculty: annually
- Courses: annually, to the same schedule as printed materials, ideally.
- Research: annually
- Research Projects: as needed, but at least annually
- Research News: annually
- Academic Groups: as needed, but at least annually
- Staff Profiles: as needed, but at least annually
- Website policies: annually
- Services: annually
- Library: annually
- Contacts: annually
Responsibilities
- Courses information: copy needs to be approved by the Course Manager
- Research Projects: one member of academic staff is required to take responsibility for the content of any Research Project section. The content update may be delegated to another individual, but the responsibility resides with the nominated academic.
- Academic Groups: the Convener has responsibility for the content, and may delegate content update to a member of administrative staff.
- Research Centres: the Head of the Centre has responsibility for the content, and may delegate content update to a member of Centre staff.
- Staff profiles: staff have responsibility for the content of their profile. The Research Office has responsibility for validating updated content and forwarding to IT Support. IT have responsibility for updating pages and link tables. Departed staff will have their profiles removed.
- PhD Student information: students are responsible for the content; The Higher Degrees Office is responsible for content update.
- Services information: service providers are responsible for the content, Web Team for the content update.
- Library: Library staff are responsible for both content and update
- Events: anyone organising an event is responsible for providing related content to the Web Team who do the content updates [Web Policy #5]
- News: news items should be emailed to web-news@educ.ac.uk
- Contacts: The IT team in coordination with the Faculty Administrator.
Routine updates (dynamic pages)
These should be handled by members of staff with agreed permissions to specific pages of the site.
File Uploads
- The content management system restricts content editors to editing pages within their permitted sections. It does not restrict their capability to upload documents to the server.
- Content Editors should upload documents (for download purposes) only to the folder in which the referring HTML page is stored.
- The exception to this rule is where documents for download are collected together in a “Resources” folder.
- Documents for upload should conform to the same naming rules as HTML pages:
- only lowercase alphanumeric characters are allowed (spaces are not)
- the total length can be a maximum of 25 characters
- Web Team will assist content editors in an annual housekeeping exercise to clear out old unlinked documents.
- Responsibility for the content of documents posted for downloading resides with the same person as the referring web page.
